Outreach dashboard
Over the last four years, I've switched from using a spreadsheet to hand-input pages we've worked on in a spreadsheet to using Wikimedia Foundation's outreach dashboard (also called "programs and events" dashboard). I can still choose pages to exclude if we've made insignificant edits to popular pages, and the dashboard theoretically makes it clear how much work we've done on a page. There are still limitations to the dashboard but I've found that it's very friendly to people who want an overview and people who want to know the nitty-gritty of our edits.
Hidden category for edited pages
I created a hidden category on enwiki for all the pages we've significantly edited. This works well with the official Massviews Analysis tool, which lets you see views for all the pages in a certain category. Some other users didn't like that I used the hidden category in this way, and we compromised by moving them to the talk page of the associated page. This still works with Massviews Analysis (but you have to check an additional box). I made sub-categories to match up to various curator specialties, which I used a few times for annual reports to special collections curators.
Hidden category for images uploaded
I added all of the images on Wikimedia Commons to a hidden category called "Images from the Harold B. Lee Library." This is immensely useful for tracking image views through various tools, and seems to be more accepted there as a type of metadata. Right now (2025) the best tool is the one DPLA created that shows image views on the page itself. It's the template called {{views from category}} there.
Importance and quality via Wikiproject architecture
Back when I started in 2016, it seemed like every GLAM project had a page on-wiki that was modeled after the Wikiproject template. I made one for the library and included the chart of pages organized by importance and quality that you see on so many Wikiprojects. It was a lot of work to set up and we didn't end up using it that much to decide which pages to edit.
